  • Make the form reflect the specific job typeA briefing form for confined space entry should look different from one for hot work or working at height. Required sections, hazard prompts, and sign-off requirements should reflect the actual risk profile of the work being performed.
  • Enforce required fields structurallyIf a field is important enough to be on the form, it should be required. Voluntary completion doesn't enforce the process — it documents that someone tried.
  • Capture sign-off with timestampsEach worker should sign off individually within the digital form, generating a timestamped record that is tied to a specific user account. This is the documentation that each person was briefed.
  • Surface pre-work conditions as action itemsIf the briefing reveals a condition that must be resolved before work starts, that condition should generate an action item — assigned, dated, and tracked to closure before work is authorized to proceed.
